Your School's Portal

This is where your school's daily work happens — the 24-module portal covered by this guide: students, fees, exams, attendance, reports and more. Your staff sign in and everything they need is one menu away, on any device. Your school's data is fully isolated — only your people can ever see it.

One Shared Database

Everything in ShuleSmart is connected. Add a student and their fee ledger is ready instantly. Record a payment and the balance updates everywhere. Enter exam marks and report cards build themselves. Nothing is ever entered twice — and nothing falls through the cracks.

Every action in the portal feeds the numbers school leaders actually need: who owes fees, who's absent, how each class performed. Reports pull live data — nothing is entered twice. First-Time Setup

Get your school ready in 7 steps

Do these once, in order. It takes about 15 minutes, and everything after it becomes easy.

Sign in /login/

Open the portal and sign in with the email your school registered with. Forgot your password? Use the Forgot Password? link on the sign-in page and a reset link is emailed to you instantly.

Tip: bookmark the portal after your first sign-in — there's no app to install; ShuleSmart works in any modern browser, on phone or desktop.

Create the Academic Year

Go to Academic Years (Administration menu) and add the current year, e.g. 2026. Mark it as the Current Year. Almost everything in ShuleSmart hangs off the academic year, so this must exist before anything else.

Add the Terms

Open Terms and create Term 1, 2 and 3 inside your year, with their start and end dates. Set the term the school is currently in. Fees are invoiced per term, so these dates drive your billing.

Important: the Promotions & Rollover wizard requires the next year's terms to already exist — creating them now saves you a headache in November.

Set Up Classes & Subjects

In Classes, add each grade/stream you run (e.g. Grade 1 — Blue). In Subjects, add what you teach (Mathematics, Kiswahili…). Teachers are assigned to classes and subjects later, when you add them.

Build the Fee Structure

In Fee Structure, define what each class pays per term — tuition, lunch, transport, whatever your school charges. This is what generates invoices, so take a minute to get the amounts right.

Enrol Your Students

In Students, add each learner: name, admission number, class and guardian contacts. Each student instantly gets a fee ledger connected to your fee structure. Admitting mid-term? No problem — invoices are generated from the date you set.

Invite Your Team

In Portal Users (System menu), create logins for your staff and pick a role for each — Head, Deputy, Accountant, Teacher or Secretary. Each person only sees the menus their role allows (see Roles below).

Roles & Permissions

The right people see the right things

When you create a portal login, you choose one of five roles. Each role unlocks only the menus that person needs — sensitive finance screens stay hidden from teachers, and so on.

School Head / Principal

Default role — full access

The complete portal. Any administrator created before roles were introduced has this role automatically, so nothing changes for them. Heads see finance, academics, staff management and system settings.

Deputy Head

Everything except system settings

Nearly everything the Head has — academics, finance, attendance, promotions and reports — but without Portal Users or Settings, so only your most senior people can change access and configuration.

How the busy days actually run

Four rhythms your school will fall into — morning, enrolment, exam season and month-end.

Every morning

Registration & roll call

  • Class teacher opens Attendance, picks their class and today's date.
  • Taps through the roster — present / absent / late — and saves.
  • Head checks Attendance Reports to spot absentees early.
New learner

Admitting a student

  • Add the student in Students with class and guardian contacts.
  • Invoices are raised from the fee structure for the current term.
  • Any payment on day one goes into Payments → receipt prints.
Exam season

Marks to report cards

  • Create the exam in Exams (e.g. End-Term 1, graded out of 100).
  • Teachers type marks in Marks — grades appear as they type.
  • Results ranks the class and prints report cards in one click.
Month-end / term-end

Money follow-up

  • Finance Dashboard shows expected vs collected per class.
  • Fees & Balances lists every arrears student — send statements home.
  • Record follow-up payments; receipts are numbered automatically.

Do we need to install anything?
No. ShuleSmart runs entirely in the browser — phone, tablet, laptop or desktop. Just bookmark your portal link. Data lives securely in the cloud, so nothing is lost if a device is lost.
Is our school's data private and safe?
Yes. Each school's records are isolated — staff at one school can never see another school's data, enforced at the database level. Only the roles you assign can reach sensitive modules like finance, and every change is written to the Activity Log.
A teacher forgot their password. What do we do?
They can use the Forgot Password? link on the sign-in page to receive a reset email instantly. If the email never arrives, the Head can restore access from Portal Users.
Can a student pay part of the fees?
Absolutely — record any amount in Payments and the balance updates automatically. Part payments, overpayments (which become credit) and multiple payments per term are all handled.
Can we print fee statements and report cards for parents?
Yes — student statements, receipts, invoices and report cards are all print-ready. Use your browser's print option and choose "Save as PDF" if you want a digital copy to send on WhatsApp.
How does the end-of-year rollover work?
Open Promotions & Rollover near year-end. The wizard checks the new year and its terms exist, maps each class to its destination (Grade 1 → Grade 2 is guessed for you), then shows every student for review. Nothing is final until you type PROMOTE to confirm — after that, students are promoted and all balances carry forward automatically.
What happens when a student leaves mid-year?
Set them to Inactive in Students (don't delete — their fee history matters). Their records, receipts and any credit remain searchable, and their balance still appears in your reports.
What if the internet goes down at school?
You can't reach the portal offline, but nothing breaks — your data is safe on the server. Once the connection returns, everything you do next syncs normally. Most schools keep a simple offline register for such days and catch up in a minute later.
